By now, most people working with data analysis are aware of Power BI’s capabilities and its vast potential to bring decisions to the centre of business. Power BI serves not only as a reporting tool but also as a comprehensive self-service Business Intelligence suite. It empowers users to navigate data models and easily build their own analyses, reports, and dashboards. Additionally, it provides advanced tools for experienced analysts to connect, ingest data, and develop robust solutions across an organization.

However, many questions arise when deciding to adopt Power BI as the primary reporting tool. It is wise to address these questions, especially if transitioning from a different tool, as migrating and adapting existing models can present additional challenges. To help you understand the key considerations, we will explore the top three common questions while implementing Power BI and their answers:

 

1. How Much Does Power BI Cost?

Power BI offers various licensing options, from free to premium experiences. Before choosing a plan, you must understand your company’s needs, current infrastructure, and business objectives. Here are the four available options for Power BI licensing:

  • Power BI Free: A cost-free account for individual users to build reports and analyses with limited features.
  • Power BI Pro: Includes sharing and collaboration features on the Power BI Service (online) with a fixed cost per user.
  • Power BI Premium: Provides access to advanced features such as Microsoft Copilot (AI) and dedicated cloud resources based on your needs.
  • Power BI Embedded: Offers access to all advanced features with tailored storage and processing capacities without a pay-per-user license.

In addition to licensing, consider the total cost of ownership, including data storage, development, support, and training. These factors will help you include all initial and ongoing costs in your budget planning.

2. Is Power BI Safe?

Power BI ensures data security and encryption across all licensing options, including the free license, for both data in transit and at rest. Advanced security features like Row-Level Security (RLS) and Object-Level Security (OLS) are available with Pro or higher licenses.

Moreover, Power BI offers compliance and access controls to ensure data is only viewed and manipulated by authorized personnel and complies with regulations such as GDPR. While data in Power BI is secure, some advanced access and role management features depend on the license type.

 

3. Can Power BI Integrate with Existing Sources and Systems?

Power BI connects to data through Power Query, supporting hundreds of different data sources, including on-premises databases, Excel files, and most cloud services:

  • Databases: SQL Server, Oracle Database, IBM Database, SAP, Amazon Redshift, and more.
  • Azure: Azure SQL Database, Synapse Analytics, PostgreSQL, and other Azure services.
  • Files: Excel (XLSX), CSV, JSON, PDF, and Parquet files, with the ability to connect to entire file folders and SharePoint folders.
  • Online Services: Google Analytics, Salesforce Reports, Adobe Analytics, Databricks, and many other connectors.

Power BI can likely connect to your current data sources, but it is recommended to follow these steps before adopting Power BI:

  1. Verify the full list of Power BI connectors and APIs to ensure the necessary connectors are available, and test the connections.
  2. Define the connection type (import, direct query, dual mode, or live connection) and data refresh plan.
  3. Determine if and what type of ETL process is needed to integrate your current solution with Power BI, as structures may need adjustment to fit Power BI’s architecture.

 

These three questions are common and typically arise first when considering Power BI. During the implementation assessment and planning, many other questions may emerge, which is expected.
